Meeting Notes: ANRL’s July 17, 2015 Board Meeting

  3. Presidents Report: Dave Graber
    The Library staff has sent their deepest sympathy to Bob Proctor, ANRL Secretary, over the loss of Mitzi his wife.

    We have a lot of discourse among our library team. Being 1200 miles away it makes it difficult for me to resolve them. I believe there are solutions to the concerns many of you have, but this meeting is not the place to work them out. I would like to put these concerns on hold until I get back the end of September.

    I hope all of you are taking some time and having fun this summer, many library projects remain ongoing but at a little slower pace.

    The Library is getting research request for a variety of materials. AANR MidWest was looking for a picture of a person who had been “Prince” at the 1962 Nudist Convention. They also requested information on Nudist all over the world for a project at their annual convention. We have had request for old club charters, to answer, “What did clubs look like or do in the past?” . I’m hoping these kind of request will continue and grow. All of us need to let people and groups know what the library has to offer. The library is still looking for nudist groups that don’t know about us. .We have not been very successful at finding them. I’m sure there are many out there we have not contacted and who have not contacted us.

    We have found some Specialty FDIC insured CD to invest in that are paying significantly more interest than what we had.

    We are still looking for a volunteer who would like to update the list of active nudist clubs and organizations and then up date our map of their location.

    I continue to encourage people to use our web site it has a lot of good information in it. If there are any Comments, additions or corrections About the Web site please contact Bob or me?
  4. Secretary’s Report: Bob Proctor
    There have been recent events in my life which have changed me and the way I work at ANRL. I lost my wife Mitzi after her 4-year battle with ovarian cancer. I have focused on helping her and with that, many ANRL projects which I handled in the past have been delayed, shelved or fallen through the cracks. I plan to continue supporting those projects, pick up the pieces and continue to help ANRL.

    As ANRL moves ahead it is very important for us to improve teamwork and communication between team members. All volunteers need to have Email and use it in a timely manner. Communication needs to be clearly written and reviewed before being sent. Volunteers need to follow procedures. When shortcuts are taken or procedures are not followed, things get broken and somebody ends up with more work. Nobody likes to waste time. Let’s try to work together as a team.

    My activities include:
    1. Web site maintenance, security updates, content updates, publishing new pages
    2. Database support with improvements, data collection, upgrades, ease of use
    3. Membership
    4. Newsletter twice a year
    5. Correspondence
  5. Treasurer’s Report: Roe Ostheim
    The formal report was submitted and is on file at the library. In summary: Some funds are in the process of being moved to higher interest bearing products. Spending for Jan-July of 2015 was $5,444 and that includes computer and insurance. Income from books and magazine sales was $1,720. Income from membership was merged with income from gifts and no dollar number was given. A comparison with the same period of a year ago shows no significant change. No written summary was submitted but you can listen to listen to the tape recording for the discussions that went on and for some other details.
  6. Scanning Committee Report: Ed Westen
    Mark Silverstein, Tom Bergen, and Terry Crump have done their usual fine work scanning and Lou Cook has done a nice job helping with the post production. Sue Nathan, Becky Silverstein and Roger Vonland have helped with sorting and decision making and Roe keeps us both fiscally responsible and, occasionally, entertained. The total number of magazines that have been scanned and processed and are currently available for patrons to use now stands at 6,286 or just over a quarter of a million pages of material. The Shelf List, the magazine inventory on the secretary’s computer, has been kept up to date and is accurate. Each month a Surplus Magazine list is generated and is available in the same place. About three hundred US magazines still need to be scanned to complete that part of the job.

    Within the past few weeks the library has had a request for information about a club called Spartans of Tropical Gardens. As a part of that research and a subsequent hunt for information about two individuals, our US magazine collection was searched using Adobe reader. The process was done using two somewhat more powerful than average laptop computers and each search of the 4000+ US magazines took more than three hours. Searches may be very useful but they can take considerable time.

    An additional hard drive has been purchased and our scanned data files have been loaded onto it. The secretary’s computer was replaced, when it died suddenly, with a newer machine that was donated by Barbara Westen. Jim Sweeny was able to install the old computer’s hard drive into the new one thereby preserving its software and data. The process of doing so was not as easy as it sounds and Jim is to be commended for his fine work.

    The patron computer’s newsletter collection now numbers several thousand and as clubs and organizations send their current issues Jim keeps the files up to date. The newsletter collection is searchable and should be a valuable tool for researchers. At this time a search of the entire newsletter collection takes a computer about an hour. Thanks, again, to all of our fine volunteers who have made this past quarter so productive.
  7. Newsletter Committee: Jim Sweeney
    I have prepared the Newsletter Status July 2015 which is a listing of the clubs from which we obtained newsletters during the past Quarter. The list shows that we added three new organizations during this period and added 130 new items in the period. The list also compares the number of items received as of April 2015 with the current totals to show the activity. It also shows the source of the new items some of which come attached to emails, have email links to the item or are obtained directly from the Club websites. There are only 3 clubs that still send newsletters using the US mail.

    We continue to look for more newsletter sources and if anyone can help us add to our archive it would be appreciated. Please contact me at newsletter@anrl.org for additions or corrections.
  8. Membership: Bob Proctor
    Bob will print a new listing of members and file it near the Librarian’s desk. A short discussion concluded that the Vice President could sign LIFE Certificates now that our President is out of town.
  9. Database: Bob Proctor
    Bob reported that Lou Cook and he updated the Database with new Books and Videos. Some research is being done on moving ANRL to FileMaker Server–14.
  10. Tech Committee Report: Bob Proctor
    Bob reported that the Modem was replaced but that we had to do the installation. The power supply of the Gateway Computer broke. The Gateway hard disc was moved to a new computer which was donated to ANRL by Ed Westen. This computer now has two discs: the original disc and the disc from the Gateway. Security updates to the Web site have taken time to install.
  11. Old Business
    1. Reading minutes of the last meeting was skipped in the Agenda. Bob reviewed highlights including the mailing of Circulating material to members with USMail. This was voted on and passed at the Board Meeting but even with that, there was was discussion

    1. ANRL’s List of Recommended Books and Videos
      We will be posting a list in the place near the door where the bulletin board is now located. Also the list will be posted on the Web site.
    2. Curt Bishoff’s Donations to ANRL
      Curt will submit a report which details the two items. This will report will be added to the Web site. The two items are:
      1. Tin Box from the estate of Edith Church This box contains documents and mementos that Edith thought were of great value.
      2. Uncle Danny Boone’s Microscope This microscope was used to analyze insects and bugs.
    3. Curt was able to find Vol #1 Nbr.2 of “The Nudist” magazine from 1932.
    4. Curt reviewed his past conversations with Brian Hoffman Brian is the author of the book “Naked: A Cultural History of American Nudism.”
  13. Paul Levalley sketched out his possible involvement as a volunteer at ANRL.
  14. Motion to adjourn the meeting by Edward Waller, seconded by Roger Vonland and approved.
